Developing a Business Need Document
Developing a business need document is an important task in the organization. Organizations are supposed to develop a business need document before developing an technology solution. The business need document helps the business identify the business problems. Businesses face various problems. The problems are almost similar in many businesses. A business need document differ from one business to another as the business have different needs. Examples of problems facing many organizations are customer satisfaction and improving productivity.
Majority of the businesses do not satisfy their customers. The businesses find it difficult to satisfy their customers as they do not have the right solutions. This makes it difficulty for customers to purchase goods from the organization. This in turn lowers productivity. Increasing productivity in the organization has become a major issue. This is because organizations do not have the right systems to improve production. Also, the organizations do not promote customer satisfaction (Bai, 2009).
Apart from increasing productivity and customer satisfaction, the organizations have difficulties in improving efficiency in the organization. Also, the organization have difficulties in making proper decisions and ensuring clear communication. Efficiency is a key problem in many firms. The firms find it difficulty to coordinate operations between different departments. For example, the organizations have problems in coordinating purchasing department and the transport departments. Also, the organizations have difficulties in coordinating customers, and accounting departments. This affects the operations in different departments. Lastly, the firms have difficulties in involving managers from various departments in decision making process. This affects productivity in the organization as managers do not make wise decisions (Bai, 2009).
Business need document will include various needs that are inline with the objectives of the business. First, the business needs to improve efficiency in the organization. The business needs to coordinate operations between different departments so as to improve efficiency. Also, the business needs to improve productivity and customer satisfaction. Improving operations between different departments will help improve customer satisfaction as customers will order goods in time and get them at the right time. Also, the business will get information from customers to improve the quality of services and productivity. The business will improve communication and decision making process in the organization (Bai, 2009).
The information technology department needs to implement various systems to help overcome the issues in the organization. For example, the information technology department should implement an information executive support system. The system helps improve decision making in the organization. It improves decisions making among the top officials in the organization. This in turn helps them make decisions that are beneficial to the organization. Managers collect data from different areas and analyze it to make proper decisions (Shaikh, 2009).
Moreover, the information technology department should implement transaction processing systems. The systems will help coordinate activities from various departments in the organization. For example, the transaction processing system will help coordinate activities between the accounting department and sales department. This is because accountants will be able to get information from the sales department and prepare the right records.
Additionally, the business can implement a customer relationship management system to ensure customer satisfactions. The customer relationship management system helps the business gather information from the clients and use it to make proper decisions. Also, it helps the firm provide quality services and goods to customers. Further, the information technology department can implement management information systems. The system allow managers to collect information and use it (Shaikh, 2009)
Use cases are used to describe the behavior of technology systems being implemented. They explain how the systems react to signals from the environment. A use case can be used to describe people who carry out different activities in a system’s case are important when developing technology systems or when implementing them. This is because they provide information that can be used to develop technology systems. The use case is used to collect business requirements(Shaikh, 2009).
Use case for transaction processing system.
Are supposed to pay for goods and services provided in the bank account provided by the company. Then, the accountants are supposed to get the records from the bank and prepare a final report which they present to the managers for decision making process. This will help coordinate activities between the accounts department and purchasing department and other departments like transport department (Kudler Fine Foods Virtual Organization, 2008).
Use case for decision making systems
The staff from various departments is supposed to submit information they have collected to managers in their respective departments. Then, the managers are supposed to analyze the information together and make ethical decisions (Kudler Fine Foods Virtual Organization, 2008).
Use case for customer relationship management system
Are supposed to provide information to the staff and managers on quality of services and goods provided. This helps managers develop the right solutions using the information collected. Hence, this will help improve customer satisfaction and services (Kudler Fine Foods Virtual Organization, 2008).
Use case for information management system
Managers should collect information and use it to develop good strategies to solve the business problems(Kudler Fine Foods Virtual Organization, 2008).
